Cancellation Policy & Important Tour Details

Should you need to cancel or postpone your trip, fees do apply, so please read our Cancellation Policy below. We strongly recommend travel cancellation insurance for unexpected changes in your plans. Please contact us for a list of insurers.

DEFINITIONS
“Cancellation” is defined as not attending your scheduled Aurora Adventures Program, including postponing or rescheduling. “You” refers to the participant booking a Aurora Adventures Program. “We” refers to Aurora Adventures, LLC. It is your responsibility to read and understand our cancellation policy before making a reservation. Naturally, no one books with the intention of canceling or postponing their program, but unexpected things do happen, so please consider purchasing travel cancellation insurance.

TRAVEL CANCELLATION INSURANCE
Depending on the policy and conditions, travel cancellation insurance will pay for some or all cancellation fees. With most agencies, insurance must be purchased within 14 days of making your flight reservation. We strongly recommend purchasing cancellation insurance through your travel agent. 

PARTICIPANT CANCELLATION POLICY
Depending on when you cancel, cancellation fees may apply. A 25% deposit is due at the time of booking.  Full payment is due 90 days before departure.

  • If you cancel more than 90 days before your program start date, 80% of your payment may be refunded or be applied to another Aurora Adventures Program. You will forfeit 20% of the your payment.
  • If you cancel 60 – 89 days before your program start date, 50% of your payment may be refunded or applied to another Aurora Adventures Program. You will forfeit 50% of the payment.
  • If you cancel 31 – 59 days before your program start date, payments are not refundable, but are transferable (less 50% of the price of the program) to a future Aurora Adventures retreat within 1 year.
  • If you cancel 0-30 days or less before your program start date, you will forfeit your entire payment. All payments are not refundable and not transferable.

 We do not offer credit for arriving late or leaving early. You must submit your signed Registration Form and Participant Agreement, Release of Assumption of All Risks Form within one week of booking or 90 days prior to program start date, whichever comes first. Aurora Adventures must strictly adhere to its Cancellation Policy to offset costs incurred prior to the commencement of the Program, which may include but are not limited to: advance payments to land operators; communication expenses; development and the loss of time that might have permitted resale of reserved space; and transaction fees associated with processing your payments. Aurora Adventures shall not be liable for any airline cancellation penalties incurred by the purchase of a non-refundable ticket or for any changes to airline policies regarding refunds and credits.

Aurora Adventures LLC, CANCELLATION POLICY
In the case of a cancellation due to shortage of participants, Aurora Adventures will attempt to notify all participants at least 45 days prior to departure. If Aurora Adventures must cancel or change a scheduled program date for any reason, you may transfer your program payment minus a 10% fee to another program.  Aurora Adventures, LLC is not responsible for your expenses incurred in preparation for any canceled programs, such as airline tickets, loss of work, and/or other costs associated with preparing for your trip. Please confirm that the retreat has reached minimum capacity before purchasing your airline tickets, if required. Finalization/cancellation of program may occur up to 30 days prior to program.

However, Aurora Adventures reserves the right to cancel the Program prior to departure for any reason or due to a force majeure event. Force majeure events include, but are not limited to, acts of God, strikes, wars, civil unrest, acts of terrorism, severe weather, sickness, quarantine, global pandemic or other serious health or safety issues, or governmental restrictions. In most cases if Aurora Adventures cancels a program due to force majuere events, Aurora Adventures will use its best efforts to reschedule the program within a reasonable period of time at as little additional cost as possible to participants. If program is cancelled due to Force majuere events with less than 15 days to departure, 50% of the program funds may be applied to a future program.
